JOB DESCRIPTION

Title: Studio Manager / Executive Assistant

Job Purpose: Maintain the studio to function seamlessly and support founder

 
RESPONSIBILITIES

 Studio Administration

  • First port of call for all studio enquiries for projects and press
  • Brief team on new projects
  • Issue Letters of Engagement, contracts and terms and conditions for each new project
  • Organising client meetings, transport, and site visits, book travel and logistics 
  • Organising studio, managing, maintaining all stock and business assets
  • Coordinate all press interviews and assist on photo shoots where required

 Financial responsibilities

  • Work closely with the bookkeeper to manage FLD accounts
  • Check and sign off invoices ensuring that costs are as agreed prior and manage payment of all supplier invoices
  • Liaise with bookkeeper with current project budgets to raise sales invoices and follow up on overdue invoices

 HR

  • Collate all CVs sent to the company and manage recruitment process where necessary
  • Hire and manage freelancers where required
  • Create induction packs for new starters and interns

 Personal Assistant:

  • Diary management
  • Assist with personal errands from time to time
  • Maintaining and processing personal payments and accounts

 Skills and Experience

  • Being able to multi-task and prioritise is essential
  • You must be very driven, and have very high standards for quality and attention to detail and look to continually improve systems and processes
  • Strong numerical skills.  Proficient in budgeting and Excel
  • Strong communicator both verbal and written
  • Experience using Xero accounting software would be useful

JOB DESCRIPTION

Title: E-Commerce and Procurement Manager

Job Purpose: The role’s main responsibility is to develop and manage our online shop

RESPONSIBILITIES

Web and Store Inventory

  • Development of excel spreadsheets to input product and photography data for website uploading
  • Uploading of product spreadsheets to web platform
  • Processing of inbound deliveries. Ensuring all data is correct - compositions, sizes and product details/ descriptions.
  • Responsible for scheduling / photography / managing / uploading of products on the website
  • Maintain appropriate packing supplies at studio for shipping customer orders
  •  Maintain and arrange our storage areas in a clean and organised manner
  • Stock counts 

Sourcing and Procurement

  • Continually source new products supported by the founder
  • Ensuring all business quotes for procurement are in line with business needs and budgeting
  • Manage and grow UK and international supplier/manufacturer relationships
  • Analyse suppliers and negotiate with suppliers on terms
  • Primary point of contact for all incoming supplier deliveries
  • Checking all incoming deliveries and creating accurate paperwork
  • Monitor sales margins on products

 Web order fulfilment

  • Responsible for managing the Shopify platform and web order fulfilment
  • Preparing, wrapping, packing, managing stock
  • Delivering exceptional customer experience.

 Shipping

  • Managing shipping platforms and arranging shipments to customers
  • Select and arrange best shipping for all incoming and outgoing shipments
  • Handling all export and import paperwork and shipping related issues: including ensuring that correct commercial invoices and customs information is provided for all EU and ROW orders using correct tariff codes and details for a smooth export to direct customers
  • Seek to constantly improve costs and efficiencies around shipping within the business

 E commerce

  • Support implementation of website development where necessary

Skills and Experience

  • The role requires a person who is organised, detail focused and methodical in their approach to tasks
  • IT Advanced interpreting and using Adobe Illustrator, InDesign and Photoshop
  • Strong numerical skills, communication both verbal and written – numerate and a knowledge of creative.
  • Proficient in budgeting and Excel
  • E-Commerce and fulfilment experience required
  • Entrepreneurial attitude and a self-starter 
  • Strong trend knowledge
